Job Summary

The Office Manager/Administrative Assistant is responsible for the daily management and organization of the Minsk Inspectorio office as well as administrative support to Minsk office staff. Role includes responsibility for purchasing of supplies, coordination with vendors, maintenance of the day-to-day cleanliness and orderliness of the office. Assists staff with written communications, new employee on-boarding, documentation of company processes and procedures, and travel arrangements.

Essential Job Duties and Responsibilities

  • Manages vendor relationships, reviewing services contracts, renewals, and rates (ex: janitorial, supplies, food & beverage, security, building lease, technical support, SaaS subscriptions, etc.)
  • Ensures all staff members have the necessary supplies and resources to perform roles successfully
  • Assists with scheduling meetings, greets guests, and coordinates food and beverage as needed
  • Assists with planning and execution of employee events
  • Prepares travel itineraries for staff members, books hotels, cars, and airline tickets as required
  • Maintains and manages company assests (ex: furniture, supplies, equipment, etc.)
  • Assists with documenting company processes and procedures, internal communications, presentation preparation, and client event logistics
  • Maintains clean office environment, tidying as necessary
  • Assists with on-boarding of new employees (ex: first week itinerary, computer set up, checklists, desk prep, etc.)

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copier/scanner, and filing cabinets. Frequently interacts with professionals in different regions of the world.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel objects; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

Position Type/Expected Hours of Work

This is a full-time position, and hours of work are Monday through Friday, 7:30AM to 4:30PM. Days and hours of work may vary due to international team demands. This position occassionally requires overtime.

Required Education and Experience

  • Bachelor's degree
  • One year of experience in office management
  • Proficiency in MS Office
  • Fluent in English

Preferred Education and Experience

Fluent in Spanish
