Position Title: Programme Assistant (Outreach

and Visibility)

Context:

Under the overall supervision of the Chief of Mission and the direct supervision of the Programme Support Officer, the incumbent will provide support to the implementation of IOM Ukraine’s Transition and Recovery Unit efforts with focus on internal and external engagement, information sharing, visibility, storage for project materials, signage and visuals, translation and interpretation, and the related implementation and monitoring of such activities, in close cooperation and collaboration with the Communications Unit.

 Core Functions / Responsibilities:

  1. Provide support across the Transition and Recovery Unit for outreach, visibility, and information sharing.
  2. Assist in the overall implementation of the Transition and Recovery Unit’s efforts through the formatting and design of infosheets, reports, flyers, presentations, statistical infographics, operational maps, correspondence, and all forms of visuals and graphics, including by providing content to the Communications and/or the Programme Support Units.
  3. Render support through the procurement of project-specific visibility materials and storage space.
  4. Maintain the physical and virtual inventories of programme-specific visual materials readily available for meetings, conferences, and project events. This includes infosheets, pamphlets, banners, plaques, stickers, folders, visibility apparel, etc. in each office, as well as presentations, videos, photos, quotes, maps, etc. in the Transition and Recovery Workspace on SharePoint.
  5. Support project teams to organize and conduct outreach activities, such as conferences, workshops, focus group discussions, interviews with key informants, dialogues, consultations, and more.
  6. Undertake regular travel to offices across Ukraine to support the project teams with their outreach efforts and render surge support for monitoring project activities.
  7. Draft official and unofficial correspondence in English and Ukrainian, and Russian when needed to best reach vulnerable populations and project beneficiaries.
  8. Provide informal interpretation and translation to/from English/Ukrainian as may be needed.
  9. Perform such other duties as may be assigned.

Required Qualifications and Experience

Education

  • High School diploma with five years of relevant experience; or,
  • Bachelor’s degree (preferably in Linguistics, Public Administration, Communications, International Relations or other related field) from an accredited academic institution with three two years of relevant professional experience.

Experience

  • Experience customizing outreach materials for government authorities, civil society, embassies, and internal and external partners;
  • Experience with organizational and administrative duties;
  • Experience of field work;
  • Knowledge of migration, social cohesion, durable solutions, human rights, peacebuilding, and/or veterans’ reintegration topics is advantageous; and
  • Experience in working with IDPs, refugees and/or vulnerable populations is advantageous.
  • Proven written and spoken communication skills in English and Ukrainian, and Russian when needed; translation skills are advantageous; and
  • Advanced user of the Microsoft Office Suite, including Outlook, PowerPoint, SharePoint, PowerBI, Publisher, Excel, and Teams; demonstrated skills in Adobe and other graphics software strongly advantageous.

Languages

Fluency in English and Ukrainian is required.
