 Position Title: Project Assistant (Administrative,

T&R)

Duty Station: Kyiv, Ukraine

Classification: General Service Staff, Grade G-4

Type of Appointment: Fixed Term, one year with the

possibility of extension

Context:

Under the overall supervision of the Chief of Mission (CoM) and direct supervision of the Operations Coordinator (Transition and Recovery), the successful candidate will support Transition and Recovery Unit in Kyiv with administrative functions.

 Core Functions / Responsibilities:

  1. Provide general assistance to the implementation of project activities, including but not limited to administrative tasks related to finances, logistics, and procurement.
  2. Retrieve, compile, summarize, and present information/data on specific project topics.
  3. Assist in monitoring budget and updating budget related information.  
  4. Support administrative coordination for project implementation, involving liaison with diverse organizational units or external parties to initiate requests, obtain necessary clearances, process, and follow-up on administrative actions.
  5. Draft status reports, correspondence, briefing notes, graphics, statistical tables, presentations, and other forms of documentation.
  6. Support the organization and administration of meetings, workshops and events (e.g. arranging for meeting rooms and other facilities.
  7. Respond to general information requests and inquiries; set up and maintain files/records. 
  8. Perform other related duties as assigned.

Required Qualifications and Experience

Education 

  • High School diploma with four years of relevant experience; or,
  • Bachelor’s degree in Business Management, Public Administration, Economics, Political Science, International Affairs, or related fields from an accredited academic institution with two years of relevant professional experience.

Experience

  • Experience in administration, finance, human resources, logistics, procurement or similar;
  • Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups; and,
  • Knowledge of migration related subject areas dealt with by the Organization;
  • Knowledge of administrative policies and procedures;
  • Knowledge of financial and procurement rules and regulations; and
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
  • Demonstrated proficiency Microsoft Word, Excel, PowerPoint, SharePoint, and Outlook.

Languages

Fluency in English and Ukrainian is required.
